ProperReply is operated by Fuse Studio LLC, a Delaware limited liability company (“ProperReply,” “we,” “us,” or “our”). This Acceptable Use Policy explains rules for using ProperReply, including our website, application, templates, AI drafting tools, subscription plans, and related services (collectively, the “Service”).

This policy is part of our Terms of Service. By using ProperReply, you agree to follow this Acceptable Use Policy.

1. Purpose of ProperReply

ProperReply is designed to help landlords, hosts, and small property operators draft clear, professional rental related communication.

ProperReply is not legal advice, tenant screening guidance, compliance advice, or a substitute for reviewing local laws or speaking with a qualified professional.

You are responsible for reviewing, editing, and approving all messages before sending them.

2. Prohibited Uses

You may not use ProperReply to create, request, send, support, or assist with content that is unlawful, harmful, abusive, discriminatory, misleading, or otherwise inappropriate.

You may not use ProperReply to:

  • Violate applicable laws, regulations, housing rules, platform rules, lease terms, or third party rights
  • Create discriminatory rental communications
  • Harass, threaten, intimidate, shame, or abuse another person
  • Impersonate someone else or misrepresent your identity
  • Make false, misleading, defamatory, fraudulent, or deceptive statements
  • Support illegal lockouts, unlawful evictions, retaliation, or illegal self help actions
  • Pressure, threaten, or coerce tenants, applicants, guests, or vendors
  • Send spam, bulk unsolicited messages, or abusive communications
  • Collect or request personal information in a way that violates privacy, housing, consumer protection, or other applicable laws
  • Bypass, abuse, or interfere with plan limits, message credits, security features, payment systems, or access controls
  • Scrape, copy, resell, redistribute, reverse engineer, or use ProperReply templates, prompts, workflows, outputs, or service content to build or support a competing product
  • Use automated tools, bots, scripts, or scraping methods to access, copy, overload, or misuse the Service
  • Attempt to access locked templates or premium content except through your authorized plan
  • Use ProperReply for emergencies or urgent situations where a professional, emergency service, attorney, property manager, or local authority should be contacted directly

3. Fair Housing and Anti Discrimination

You may not use ProperReply to create or assist with messages that discriminate or encourage discrimination based on protected characteristics.

This includes, but is not limited to:

  • Race
  • Color
  • National origin
  • Religion
  • Sex
  • Familial status
  • Disability
  • Any other protected class under applicable federal, state, or local law

You may not use ProperReply to:

  • Reject, discourage, or treat applicants differently because they have children
  • Discourage or deny lawful disability accommodations
  • Discourage or deny lawful service animals or assistance animals
  • Ask discriminatory or unlawful screening questions
  • Write messages that imply a preference for or against a protected class
  • Create rental criteria or communication that violates fair housing laws

ProperReply is a communication drafting tool. It does not screen tenants, approve applicants, reject applicants, determine eligibility, or decide whether a rental decision is lawful.

4. Sensitive Rental Communications

Certain rental topics may involve legal rights, local rules, deadlines, or formal notice requirements. Use extra caution before sending messages about:

  • Late rent
  • Rent increases
  • Security deposits
  • Deposit deductions
  • Lease violations
  • Evictions
  • Move out requirements
  • Fees or penalties
  • Application decisions
  • Tenant screening
  • Disability accommodations
  • Service animals
  • Fair housing related issues

ProperReply may help draft general communication about these topics, but you are responsible for reviewing local laws, lease terms, platform rules, and professional guidance before sending any message.

You may not use ProperReply as a substitute for legal, financial, tax, insurance, real estate, tenant screening, property management, or other professional advice.

Do not ask ProperReply to:

  • Determine whether something is legal
  • Write legally binding notices without review
  • Replace an attorney
  • Make tenant screening decisions
  • Determine whether an applicant should be approved or denied
  • Guarantee legal compliance
  • Handle emergency or urgent situations

If your situation involves legal rights, deadlines, formal notices, eviction, deposits, discrimination concerns, safety, or high risk rental issues, consult a qualified professional.

6. AI Safety and Refusals

ProperReply may refuse, block, or redirect requests that appear unsafe, discriminatory, unlawful, misleading, abusive, or outside the intended purpose of the Service.

If a request appears problematic, ProperReply may respond with a safer alternative, such as a neutral message based on:

  • Objective rental criteria
  • Availability
  • Application status
  • Lease terms
  • Payment status
  • Maintenance facts
  • Scheduling details
  • General communication needs

Example refusal:

“I can’t help draft a message that may discriminate, threaten, mislead, or violate housing rules. I can help write a neutral message based on objective rental criteria, availability, application status, lease terms, payment status, or maintenance facts.”

7. User Responsibility

You are responsible for:

  • The information you enter into ProperReply
  • Ensuring you have the right to enter information about tenants, applicants, guests, vendors, or others
  • Reviewing all generated messages before sending them
  • Editing messages for accuracy, tone, and context
  • Ensuring your communications comply with applicable laws and agreements
  • Any decisions you make based on or after using ProperReply
  • Any messages you send, copy, edit, save, or rely on

ProperReply does not guarantee that any message is accurate, lawful, compliant, complete, or appropriate for your specific situation.

8. Privacy and Sensitive Information

Do not enter unnecessary sensitive personal information into ProperReply.

Do not enter:

  • Payment card numbers
  • Social Security numbers
  • Government identification numbers
  • Bank account details
  • Medical information
  • Highly sensitive applicant or tenant information unless necessary and lawful
  • Information you do not have permission to use

You are responsible for ensuring that any personal information you enter into ProperReply is lawful and appropriate for your use of the Service.

9. Template and Content Protection

ProperReply includes templates, prompts, workflows, AI outputs, text, designs, software, and other service content owned by us or our licensors.

You may use ProperReply content for your own rental communication through the Service.

You may not:

  • Copy the full template library for redistribution
  • Scrape or download templates at scale
  • Use locked templates without the proper plan
  • Inspect private API responses to access premium content
  • Use ProperReply content to train, build, improve, or support a competing product
  • Resell, publish, or redistribute ProperReply templates or workflows

10. Abuse, Security, and System Integrity

You may not interfere with or misuse ProperReply’s systems.

You may not:

  • Attempt to bypass usage limits or message credits
  • Create multiple accounts to avoid limits
  • Share accounts to avoid plan restrictions
  • Use bots, scripts, or automated tools without permission
  • Attempt to access another user’s account or data
  • Probe, scan, or test the vulnerability of the Service
  • Interfere with the Service’s availability or performance
  • Upload malicious code or attempt unauthorized access
  • Exploit bugs or errors instead of reporting them

11. Enforcement

If we believe you violated this Acceptable Use Policy, our Terms of Service, or applicable law, we may take action, including:

  • Refusing to generate certain content
  • Showing a safer alternative response
  • Limiting or rate limiting your account
  • Locking access to certain features
  • Suspending or terminating your account
  • Removing content
  • Blocking access to the Service
  • Reporting unlawful activity where appropriate

We may take action with or without notice where necessary to protect users, ProperReply, Fuse Studio LLC, the Service, or others.
